Onsite Information

Registration Desk

All participants can collect their conference material (name badge, programme book, USB stick with abstracts, tickets) on arrival at the registration desk located in the Aula, directly when entering the main entrance of the university building. Attendees who decide late to participate in ECM32 can also register on-site, book tickets for individual social events, and receive any information related to the conference.

Opening hours of the registration are:

Badges

Admission to the conference venue is possible with a valid name badge only.

Badges must be used throughout the entire congress and at the official social events.

Do not forget your badge even for excursions or the conference dinner. In case of loss you can obtain a replacement at the registration desk at a fee of EUR 30,00.

Return of badge is highly appreciated (in the box located at the registration desk).

Registration categories

ECA Individual Members (category 1)
All delegates who register as ECA Individual Member will be subject to confirmation by the ECA membership database.

Non-ECA Individual Members (category 2)
Delegates who are NOT individual members of the European Crystallographic Association.

Students & Retired (category 3)
Delegates who register at the category 3 are asked to submit relevant proof of their student/retirement status.

Students are considered graduate or PhD students of crystallography and related disciplines under the age of 35 (including those who turn(ed) 35 during the year 2019). Under any circumstances delegates with the obtained PhD or above the age of 35 cannot register as students. Proof of status, including the supervisor’s contact, university document proving the student status, or the passport/ID should be sent to congress@univie.ac.at.

Retired persons are considered delegates over the age of 65 (including those who turned 65 during the year 2019) and who are NOT regularly employed.

Accompanying Persons (category 4)
Registration under catergory 4 is allowed for accompanying persons who will not join the scientific programme. They are allowed to join coffee and lunch breaks, opening ceremony and reception, closing session.

Children (category 5)
In order to promote the attendance to the ECM32 to those participants that have children, we provide free children registration (category 5). Click here for further information about the childcare service.

Exhibitors (category 6)
Registration under category 6 is only allowed to the stand staff of an exhibiting company. As the booth rental automatically includes one full registration per booth, exhibitors will be allowed to register one additional person per single booth, provided the person is working on the booth. Does not apply for Sponsor Premium Packages.

Bursary applications

There are a limited number of bursaries available for graduate and PhD students and young scientists who are aged 35 or younger (born on or after 1 January 1984) to assist them in attending the ECM32. Bursaries will be awarded to help with travel and accommodation costs, but cannot be used to pay for registration.

Certificate of participation

The certificate of participation will be sent by email after the ECM32. You’ll receive it at the email address that you provided with your registration. Feel free to check at the reception desk that this email address is still the one on which you want to receive your certificate.

Cancellation policy

Refund of fees, less 25% administrative charges, can be applied for in writing until May 2nd, 2019 to the Administrative Secretariat. After this date no refund will be possible. Substitutions of attendees can be made at any time. For any change of names, a fee of 30€ will be charged.

All refunds will be issued after the Conference.
